How to Add a Watermark to a PDF

When and how to watermark PDF documents — covering layout options (diagonal, center, tiled), opacity, colour, and privacy-safe browser tools.

What Is a PDF Watermark?

A watermark is semi-transparent text or an image overlaid on each page of a document. It signals status (“DRAFT”, “CONFIDENTIAL”), ownership (“Copyright 2025 Acme Corp”), or distribution control (“FOR INTERNAL USE ONLY”). Unlike headers or footers, watermarks sit in the body of the page — visible but not obstructing the main content.

When You Need a Watermark

  • Draft review. Mark a circulating document as “DRAFT” so reviewers know it is not final and don't cite it as authoritative.
  • Confidential distribution. Legal contracts, financial statements, and HR documents often carry a “CONFIDENTIAL” watermark to remind recipients of handling requirements.
  • Copyright protection. Photographers, designers, and authors watermark proof copies to deter unauthorized use.
  • Compliance. Some industries (healthcare, finance) require sensitive documents to carry classification labels.

Three Ways to Add Watermarks

1. Browser-Based Tools

2. Word or Google Docs

3. Adobe Acrobat

Acrobat Pro offers the most control: text or image watermarks, rotation, scaling, page range selection, and the option to place the watermark behind or on top of content. For enterprise use, Acrobat's Action Wizard can batch-apply watermarks across hundreds of files.

Choosing the Right Settings

Layout

  • Diagonal. The classic “DRAFT” or “CONFIDENTIAL” stamp. Covers the page without blocking any specific region.
  • Center. A single instance centered on the page. Less intrusive, works well with smaller text or a logo.
  • Tiled. Repeats the watermark across the entire page in a grid. Harder to crop or remove — common for proof copies and photo samples.

Opacity

Too opaque and the watermark obscures the content. Too faint and it is invisible when printed. A range of 15–30% opacity works for most documents. Preview the result before committing — screen brightness and printer differences mean what looks right on your monitor may print differently.

Colour

Light grey is the safe default — it reads clearly on white backgrounds without overwhelming content. Red signals urgency or confidentiality. Blue is a softer alternative that pairs well with corporate documents.

Can Watermarks Be Removed?

Text watermarks added as PDF annotations can sometimes be removed with editing tools. Watermarks rendered directly into the page content (as FileKit and most professional tools do) are much harder to strip cleanly. However, no digital watermark is truly tamper-proof — treat watermarks as a deterrent and a signal, not a DRM system.
